Referral Factory gives you a few options to control how you send emails to your users. In this help guide, we will show you how to verify your own domain for email sending. This will allow you to send emails to your customers on behalf of your business with your chosen outbound email address, using our email server.
Verifying your email domain with Referral Factory helps reduce the likelihood of your emails being marked as spam while maintaining consistent branding across all your email communications. This process also protects your domain from unauthorized use and significantly improves your overall email deliverability rates, ensuring your messages reach their intended recipients.
What You Need
→ Access and the correct email permissions for your Referral Factory account
→ Access to your DNS records through your domain provider
→ Administrative permissions to modify DNS settings
→ Your domain's email address that you want to use for sending
Step 1: Connect Your Domain In Referral Factory
→ Login to your Referral Factory account and head to the Settings tab.
→ Click on the Emails And Domains page.
→ Click on the “Connect Your Domain” button and enter your domain.
→ Click Save.
→ You will then see a pop-up with your DNS records. Keep this popup open.
Step 2: Access Your DNS Settings
→ In a different tab or window, log into your domain provider's dashboard (e.g., Cloudflare, GoDaddy, etc.)
→ Navigate to your domain's DNS settings section
→ Ensure you have permissions to add new DNS records
Step 3: Add Required DNS Records
→ Copy the DNS records from Referral Factory and add them to your domain provider. These records will validate that you own this domain so that our email provider can generate the corresponding SPF and DKIM for secure and verified sending.
Please ensure that these DNS records remain present at all times.
Here is an example of the DNS records from Referral Factory:
You'll need to add several types of records to your DNS configuration:
1. **TXT Records** (2 required)
- Add the first TXT record with the provided name and value
- Add the second TXT record with the specified value
- These records help verify domain ownership
2. **CNAME Record** (1 required)
- Add the CNAME record exactly as specified
- ❗️ Important: If using Cloudflare, ensure the CNAME record is set to DNS-only mode (not proxied)
3. **MX Records** (2 required)
- Add both MX records as specified in the verification screen
- These records handle email routing
Step 4: Verify Your Configuration
→ Go back to the Referral Factory tab or window and underneath the popup with the DNS records, click the “Verify” button.
If your domain has been correctly verified you will see a success message and your domain in green with a green tick.
Step 5: Configure Your Outbound Email Address
Once you have verified your domain for sending emails, you can add an outbound email address which will be the email address that the emails you send comes from. For example: info@your-domain.com.
