What You Can Do With Zoho CRM and Referral Factory

👉 Sync your Zoho contacts to generate their referral links.

Get Started

What You Need

  • Any Referral Factory plan.
  • Any Zoho plan.
  • A draft or published referral campaign in Referral Factory.

Please note:  You cannot connect multiple Zoho accounts to your Referral Factory account at the same time. 

Connect your Zoho Account with Referral Factory 

  • In the left-hand navigation bar of your Referral Factory dashboard, click the Settings tab.
  • Click Connect under the Zoho logo. 

  • A pop-up will appear. Review the data permissions and then click Accept

Configure Zoho

Once your Zoho account is connected to Referral Factory, you will need to configure your integration inside your campaign(s). 

Please note: There are two main functions to configure:

  • Send Users from Referral Factory to Zoho.
  • Qualify successful referrals when a status changes in Zoho. 

Send Users from Referral Factory to Zoho 


  • In the left-hand navigation bar, click Campaigns.
  • Select the campaign you want to connect to Zoho.
  • In the bottom navigation bar, click Integration.
  • Select which Referral Factory users to send into Zoho as leads or contacts.
  • Select Direct if you want to send the Person Referring.  
  • Select Referred if you want to send the Person Invited.
  • You can select both Direct and Referred users!

Tip: If you’re only asking your existing Zoho leads or contacts to refer, there is no need to send Direct users.

Please note: If a Referral Factory user is already a Zoho lead, don’t worry! Referral Factory will check the user’s email address against your lead or contact list and will only create new ones. Existing leads will be updated, depending on the user data you map between Referral Factory and Zoho.

Qualify successful referrals when a status changes in Zoho

 

What will change in Zoho when you consider a referral successful? Select from 5 options to trigger a successful or converted referral in Referral Factory:

👉 When a lead converts into a deal, and move to a specific deal stage

Tip: The fields available in these settings pull directly from your Zoho account. So, if you have custom fields, statuses, or stages, these will be available for selection.

  • When Referral Factory first creates a lead in Zoho, choose which lead status you’d like to categorize them as. For example, ‘New’.
  • Then, choose which lead status you’d like to categorize them as when you consider them a successful or converted referral. For example, ‘Connected’.

👉 When a custom field of a lead would change

  • Select ‘Create a lead’.
  • Choose a custom field of a lead would change
  • When Referral Factory first creates a lead in Zoho, choose which custom field you want to track, Then, choose what should the first data in the field be, and what will the data in the field change to when converted. For example, ‘X’.

Please note: If you select ‘Deal stage would change’, Referral Factory will automatically create a new deal alongside the contact created in Zoho.

👉 When A Lead Would Convert Into A Deal, And Move To A Specific Deal Stage 

  • Select ‘Create a lead’.
  • Select Custom property would change.
  • Choose which field you’d like to track.
  • When Referral Factory first creates a contact in Zoho, choose which custom property you’d like to categorize them as. For example, ‘Referred lead’.
  • Then, choose which custom property you’d like to categorize them as when you consider them a successful or converted referral. For example, ‘Converted Referral’.

👉 When A New Referred Zoho Contact Converts

  • Select ‘Create a contact’.
  • Select fields will be updated if your new referred Zoho contact converts
  • Choose what the first data in the field be.
  • When Referral Factory first creates a contact in Zoho, choose what will the data in the field change to when you consider them a successful or converted referral, For example ‘Referred lead’.

Next, you will be asked if you also want to send your Zoho leads or contacts to Referral Factory. 

  • Select  ‘Yes’ or ‘No’. 
  • You will be asked to complete these settings at a later stage. 

Please note: Your Zoho leads or contacts will not sync until your campaign setup is complete.

Map User Data from Referral Factory ➡️ Zoho

  • Before you map user data, decide which data you want to sync between Referral Factory and Zoho. 
  • Create relevant form fields in your campaign Pages for Person Referring and/or Pages for Person Invited. 
  • Create relevant custom fields in Zoho. You will likely want to create fields like ‘Campaign name’, ‘Referral link’, and ‘Referrer first name’. For assistance, read the Zoho help guide article. 
  • Click ‘Map the below fields to the fields in Zoho’.

  • Use the dropdown options to match the relevant data between Referral Factory and Zoho. The options in the dropdowns will pull from your Zoho account. 

Please note: Keep in mind that Zoho requires default fields ‘First Name’ and ‘Email’. If these are not mapped, the integration will not work. 

  • Map any additional Zoho values that you want to sync. Click ‘Choose your default Zoho values from the fields below’. These options will pull from your Zoho account.
  • Click Next.
  • Once you have configured Email Notifications, complete your Zoho configuration in the final step: ‘Promote your Campaign’.

Sync Zoho Contacts with Referral Factory

  • Select ‘Generate referral links for your CRM contacts’.

  • Scroll down to ‘Sync Your Contacts’.

Tip: Remember that Referral Factory’s integration lets you send data in both directions 🔄 from Referral Factory to Zoho and from Zoho to Referral Factory. In the Integrations step of the campaign builder, you configured sending contact information from Referral Factory ➡️ Zoho. In this step, you configure how to send data from Zoho ➡️ Referral Factory.

  • Choose to sync all your Zoho contacts. 
  • Select whether you want to make the sync between Zoho and Referral Factory ongoing or once-off.
  • Click ‘Next’.

Map User Data between Zoho 🔄 Referral Factory

 

  • Before you map user data, create a custom property in Zoho for ‘Referral link’.
  • Decide which additional data you want to sync between Zoho and Referral Factory. For example, you may want to sync user statistics like the number of referrals or converted referrals.
  • If necessary, create custom properties for relevant data points.
  • Use the dropdown options to match the relevant data between Referral Factory and Zoho. The options in the dropdowns will pull from your Zoho account.   
  • Click ‘Save’.

Please note: Your contacts will NOT be notified unless you choose to in the next step.

Uninstall your Zoho integration from Referral Factory

  • Navigate to the Settings tab on the left-hand side.
  • Under the Zoho logo, select 'Disconnect'.

Please note: Once disconnected, no user data will sync between Zoho and Referral Factory or vice versa. However, any data that was synced before will still be available in both systems. 

Qualify the referred contacts that convert simply by updating things like Lead status, Lead To Contact Conversion, Custom Field, Deal Stage, and Contact Conversion.

 

Qualifying your referred users or contacts automatically makes it easy for you to see how many referrals you have generated from your campaign, and how many of those have converted into actual sales 🤑

It also allows you to create automated emails and rewards to go out to the referring users who need to be rewarded. 

To qualify your referred users on Referral Factory, simply update the Lead Status, Lead To Contact Conversion, Custom Field Of A Lead Or Contact, Deal Stage, and Contact Conversion in Zoho.

This depends on how you set up your integration (we explained this in the third section above). 

When you do this, the status of the referred user in the Referral Factory will change accordingly, letting you know that the user or the contact has been qualified. The change will be as follows: 

Qualified = No

to 

Qualified = Yes

From the example below, we can see that Monica was referred by Harry. Now that Harry has been qualified we can see that Monica has a converted referral and needs to be issued a reward.
