This is a guide that will show you how to get the most value out of Referral Factory and Hubspot working together. 🚀
Our HubSpot app syncs your referral program and your CRM - allowing you to give each customer their own unique referral link, automatically send through all your new referred leads, and qualify them with a simple change in lead status, or lifecycle stage. This greatly reduces the ‘behind the scenes’ admin of your referral program and helps you know which of your referred leads qualified, it also helps you know which referrers you need to reward as a result.

To launch a referral program and integrate it with HubSpot you will need:
- Any HubSpot account.
- A Basic or Pro Referral Factory subscription.
In this guide, we will show you how to:
1. Connect your HubSpot
Click on the settings tab on the left-side navigation bar. Then click the ‘Connect’ button on the HubSpot integration option. Choose the HubSpot account you wish to connect to Referral Factory.
*Note you can only connect one account at a time.
Please make sure that you accept giving Referral Factory permission to access your HubSpot account.
Now that your Referral Factory account is connected to HubSpot, you need to set what data you want to push from your referral campaign to HubSpot. This is done while setting up your campaign using the campaign builder. Navigate to the Settings step.
2. Create, Build and Edit Your Referral Campaign
You can customize your referral campaign to look and feel just like your brand. The drag-and-drop builder allows you to add your own logo, change the background, edit the font settings and add new content such as headlines, text, images, and videos.
You can either add contacts to your campaign or allow them to sign up themselves. Referrers will be issued a unique referral link which they can easily share with their friends using the social media channels that you select.
The link that referrers share with their friends will take them to a landing page where they can join your referral campaign. This part of the campaign is very important as it’s the first thing that invited or referred friends will see about your business. Make sure you include all the information you want new referred leads to see. The goal of this page is to get new referred leads to join the campaign and submit their details.
Now that your referral campaign is built, you need to set what data you want to push from your referral campaign to HubSpot. This is done while setting up your campaign using the campaign builder. Navigate to the Settings step.
3. Setting Up Your HubSpot Integration
Under the ‘Do you want to qualify referrals?’ section – select HubSpot.
- First, define what the status of the new user will be when they enter HubSpot for example "New Lead".
- Next, define ‘What will the status of the user change to when they are qualified”, in your HubSpot account. This is the status that your customer or user will have once they convert.
- Lastly, you can also define what “Type” of Referral Factory user you want to add to HubSpot - direct users, referred users, or users who have manually been added to a campaign from an existing database. In order to make sure your referred customers get sent to HubSpot, select the "Referred" users option.
*Note: If a contact already exists in HubSpot with the same email address that they have used to join your referral campaign the contact will not be duplicated in your HubSpot CRM.
Once these three steps are completed, users that join your referral campaign will be sent to HubSpot.
4. Mapping What Data You Send To HubSpot
Define the user data that you want to collect and send to HubSpot. Keep in mind that HubSpot requires default fields "Name" and "Email" so you will need to send these. If you don’t want to send a particular data point then choose ‘Do not send’ and this information will not be included.
Make sure that these fields have also been created in your HubSpot account in order to successfully send the data points you've mapped out. If that field doesn’t exist in HubSpot then the contact will not be sent through.
You can also include the first name and email address of the referrer as a contact property when sending referred leads to HubSpot.
Once you've published your campaign and you start getting referrals, they’ll automatically be sent to your HubSpot account with the lead status that you assigned.
5. Automatically Qualifying Your Referrals In HubSpot
Qualifying referrals makes it easy for you to see how many referrals you have. You will also be able to identify who needs to be rewarded for referring a new user.
To qualify new referrals on Referral Factory, simply update the contact status in HubSpot to the status you want the user to change to when qualified.
When you do this, the status of the user in Referral Factory will change accordingly, letting you know that the lead has been qualified. The change will be as follows:
Qualified = No
Qualified = Yes
From the example below, we can see that Monica referred Harry. Now that Harry has been qualified we can see that Monica has a converted referral and needs to be issued a reward.
6. Sync HubSpot Contacts with your referral campaign
You can sync all of your HubSpot contacts or a specific list of contacts with your referral program. This will allow you to add those contacts to your referral program and issue them with their own unique referral links. You can then automatically add their referral link to the contact information in HubSpot.
This will allow you to use your existing workflows to encourage contacts to refer their friends.
From the Outputs tab of your campaign, click on the Add Customers button.
Select if you wish to sync all of your HubSpot contacts to the campaign or a specific list of contacts. If you select "Sync from specific list" you will need to choose which list you want to sync with from the drop-down menu.
Click the "Next" button to continue.
Choose which property you want to send the contact's referral link to. Click "Save".
Your contacts will now. be added to your referral campaign and their referral link will be added to the property field that you chose during your setup
7. Uninstalling The HubSpot Integration From Referral Factory
To uninstall HubSpot from Referral Factory please navigate to the 'Settings' tab on the left hand side.
Then select 'Disconnect'.
Once HubSpot has been disconnected the sending of new user data from Referral Factory to HubSpot will stop.
Any data that was sent before the deinstallation of Referral Factory and HubSpot will be available in both places.
Any new user data will still be available in Referral Factory as your campaigns will not be paused or stopped.
