How To Create A Once-Off Email

Our once-off email feature lets you create audience segments and send targeted emails to promote your referral program and boost referrals.

To allow you more flexibility to promote your referral program to the right audience we have created a once-off email feature. This feature will allow you to create unique audience segments and email that specific audience to promote your campaign.

The ability to send emails to different audiences in your campaign means you can target your users with the right message at the right time.

Step 1 - Create Your Audience

Before you can send your once-off email, you first need to know who you are going to send it to. Referral Factory offers a lot of filters that you can use to create targeted audiences for your email campaigns. You can create an audience based on a single filter or you can apply multiple filters to narrow down your audience.

Examples of audiences

To give you an idea of what types of audiences you can create, below are some examples of audiences you can create:

  • Direct or Added users who have not shared their referral link yet.

  • Direct users who have shared their referral link but do not have any referrals.

  • Referred users who have not yet made a purchase or signed up for your platform.

  • Users who were referred during a particular date range.

How to create an audience

Navigate to the Users tab in your Referral Factory account.

You can either create an audience from our prebuilt filters from the drop-down list available.

Or you can create your own audience by clicking on the Saved Audiences drop-down and creating your own.

First, give your audience a name and then set your criteria. In the example below, we have created an audience for users who have not made any referrals yet by adding only referring users to the audience that have a reach of 0 indicating that they have not yet shared their link with anyone.

When you’re happy with the filters you have applied, click the ‘Save Audience’ button.

Step 2 - Setup Your Once-Off Email

In your campaigns tab, click on the campaign you want to send a once-off email from.

Your once-off emails are specific to a campaign. If you have a saved audience that contains users from another campaign, the once-off email will not be sent to those users.

If this is the first time you are creating a once-off email then you will only have the option to Create an email from scratch.

Give your once-off email a name. Make sure you give it a descriptive name so you can recognize it later on.

If you have sent emails before or have a draft email then you will be able to choose to create an email from scratch, use a previously sent email, or continue editing your draft version.

Once you’ve selected which email you want to use, click NEXT.

Step 3 - Select who you want to send the once-off email to

You will need to choose who you want to send your email to. You can either choose to send the email to the audience you previously created in the step above, create a new audience OR you could also choose to send the email to everyone inside your campaign.

To send your once-off email to a saved audience select your audience from the drop-down list. If you want to create a new audience click “Add New Audience” and follow the steps above to create a new audience.

After you’ve selected your audience, you will be able to see how many users meet the criteria you have set and essentially, how many users your email will be sent to.

If you want to send the email to all users in your campaign, select the second option.

Click NEXT.

Step 4 - Design your once-off email

To give you more flexibility and customization of your once-off emails you have a few options to design your once off email.

  • Use the same design as your campaign

  • Create a new design

  • Send a text based email

  • Upload your own HTML emails (This feature is only available on our Enterprise plan)

Use the same design as your campaign

This option will apply the same design layout from the campaign you have built. All you need to do is build the email to include the content you want to use. You will see the bar on the right-hand side has all the elements you need to build out your email.

Create a new design

This option will allow you to create a fresh new design for your once-off email. If you select this option, you will see a basic template that you can edit to your liking using the design elements in the builder block on the right-hand side. The design block will let you edit the styling and if you click on the Build tab you can add more content blocks.

Send a text-based email.

This option will allow you to send a once-off email that is a text-based email. If you decided to send a simple text mail then the email builder you see will look a little different.

You can edit the text for the email in the center. If you want to apply basic text formatting like making some text bold, italic, or a different color, simply highlight the text and your editing options will pop up.

On the right-hand side of the email builder, you can also see what dynamic variables are available to you to personalize your text emails.

Upload your own HTML emails

Once you’ve finished designing your email and adding the content to your email, click SAVE.

You can also send yourself a test email to make sure you are happy with the content and design before you send it to your users.

Step 5 - Send your once-off email

You’ve finished creating your once-off email, you’ve sent a test mail to yourself and now you’re ready to send your email and get more referrals. On the confirm and send step, you’ll see how many users your email will be sent to. Once you’re 100% sure you are ready to go - click CONFIRM AND SEND.

Understanding Rate Limits

Referral Factory has rate limits on how many emails you can send per day, these rate limits apply to all plans. These rate limits The allocated amount of emails you can send per day will depend on your plan.

Starter plan = 100 emails per day.

Basic plan = 2000 emails per day.

Pro plan = 3000 emails per day.

If you would like to increase your rate limits so that the email sending for your campaign is not limited, you can either upgrade your plan, purchase more emails or connect your own mail server. Learn more about these options here.
