To help you get more referrals, we have built a once-off email feature that allows you to create audience segments within your campaign and send them once-off emails to promote your referral program.
To allow you more flexibility to promote your referral program to the right audience we have created a once-off email feature. This feature will allow you to create unique audience segments and email that specific audience to promote your campaign.
The ability to send emails to different audiences in your campaign means you can target your users with the right message at the right time.

Creating your audience
Before you can send your once-off email, you first need to know who you are going to send it to. Referral Factory offers a lot of filters that you can use to create targeted audiences for your email campaigns. You can create an audience based on a single filter or you can apply multiple filters to narrow down your audience.
Examples of audiences
To give you an idea of what types of audiences you can create, below are some examples of audiences you can create:
- Direct or Added users who have not shared their referral link yet.
- Direct users who have shared their referral link but do not have any referrals.
- Referred users who have not yet made a purchase or signed up for your platform.
- Users who were referred during a particular date range.
How to create an audience
To do this, you must create your audience. Navigate to the Users tab in your Referral Factory account.
You can then add a filter to your users based on the criteria you need.
Once you’ve applied the filters to your users, click the ‘Save Audience’ button.
You’ll be asked whether you want to 'Create A New Audience' or 'Update An Audience' that already exists. If you create a new audience, then give your audience a name and click SAVE.
If you only plan on sending this once-off email to an audience one time and don’t want to save it, you can create your once-off audience in the next step.
Setup your once-off email
Your once-off emails are specific to a campaign. If you have a saved audience that contains users from another campaign, the once-off email will not be sent to those users.
In your campaigns tab, click on the campaign you want to send a once-off email from.
Give your once-off email a name. Make sure you give it a descriptive name so you can recognize it later on.Select if you want to:
- Create an email from scratch.
- Create an email using a previously sent email.
- Use an email that is currently in draft.
Once you’ve selected which email you want to use, click NEXT.
Choosing the audience for your once-off email
You will then need to choose who you want to send your email to. You can either:
- Send an email to a saved audience.
- Send an email to a once-off audience.
- Send an email to all users in your campaign.
To send your once-off email to a saved audience you can select the audience from the drop-down menu.
To send your email to a once-off audience, then you can create your once-off audience by filtering your users according to specific criteria. In the example below, we want to send a once-off email to all users who do not have any referrals.
Once you have added your filters, click SAVE.
You can also choose to send your once off email to all users in your campaign.
After you’ve selected your audience, you will be able to see how many users meet the criteria you have set and essentially, how many users your email will be sent to.
Designing and creating your once-off email
To give you more flexibility and customization of your once-off emails you have three options when it comes to the design. You can choose the following options:
Use the same design as your campaign
This option will apply the design from your campaign to your once-off email. If you want to apply the same design your campaign already has then you can choose this option and you will be directed to the email builder where you can add the content to your email.
Create a new design
This option will allow you to create a fresh new design for your once-off email. If you select this option, you will be shown the design-builder where you can customize the look and feel of your email. You can either choose from our pre-built themes or you can use the advanced settings to customize the email design even further. Once you’ve finished designing your email, click SAVE. You can then go to the email builder where you can add the content to your email.
After you’ve finalized the design of your campaign, you will be shown the email builder.
Here you can edit the subject line of your once-off email to make it more catchy so that it grabs the attention of your audience and makes them want to open your email.
You can also choose to set a delay on your once-off email. This feature is great because it allows you to do all the prep work now and send the email out at a later date.
The email builder has the same drag-and-drop features that your campaign builder has so you can add great content to your email.
You can do the following:
- Add more title blocks
- Add more text blocks
- Include videos, or images
- Edit the Share to Refer options
- Add a button that links elsewhere
- You can also change the logo and the design if you’re not 100% happy with your previous design.
Send simple text-only emails
This option will allow you to send a once-off email that is a text-based email. If you decided to send a simple text mail then the email builder you see will look a little different. You can edit the text for the email in the center. If you want to apply basic text formatting like making some text bold, italic, or a different color, simply highlight the text and your editing options will pop up.
On the left-hand side of the email builder, you can also see what dynamic variables are available to you to personalize your text emails.
When you’re happy with your once-off email don’t forget to click SAVE.
You can also send a test email to yourself before you send it to your audience. Click on the SEND TEST EMAIL button, enter the email address you want to send the email to then click SEND.
Sending your once-off email
You’ve finished creating your once-off email, you’ve sent a test mail to yourself and now you’re ready to send your email and get more referrals. On the confirm and send step, you’ll see how many users your email will be sent to. Once you’re 100% sure you are ready to go - click CONFIRM AND SEND.
Understanding Rate Limits
Referral Factory has rate limits on how many emails you can send per day, these rate limits apply to all plans. These rate limits The allocated amount of emails you can send per day will depend on your plan.
Starter plan = 100 emails per day.
Basic plan = 2000 emails per day.
Pro plan = 3000 emails per day.
If you would like to increase your rate limits so that the email sending for your campaign is not limited, you can either upgrade your plan or purchase more emails or connect your own mail server. Learn more about these options here.
