How to Qualify Converted or Successful Referrals

Referral Factory gives you a few different ways to qualify successful referrals based on your program's definition of success. You can manually qualify referrals or automate the process through our integrations, webhooks, JavaScript, Zapier or API.

1. Why Qualify Referrals? 

Referrals are a powerful tool for businesses as they are more likely to convert into paying customers compared to other marketing channels. By qualifying referrals, you can ensure that you only reward referrers for successful referrals that meet your specific criteria. This means that you can maximize the benefits of your referral program and make the most out of your marketing budget. With Referral Factory, you can easily qualify your referrals based on your referred users' actions, such as signing up, making a purchase, or completing a specific task. This allows you to track the success of your referrals and identify which referrers are driving the most conversions for your business.

2. Qualifying Referrals Manually (One by One)

If you don't have a high volume of referrals yet, don't have a CRM, or don't want to automate your referral program while you're getting started, there is an easy way to manually qualify your referrals when they convert. 

β†’ Navigate to the Users tab on your Referral Factory dashboard. 

β†’ Identify which referred user you want to qualify. 

β†’ Click the blue Actions button and choose Qualify (if converted).

3. Qualifying Referrals Manually by Upload (Bulk) 

If it will be too time-consuming to qualify referred users one at a time, you can qualify referred users by simply uploading a .CSV file with one of the following unique identifiers:

  • Email address
  • Referral code (this is the code issued by our system)
  • Coupon code

To make this process even easier to manage, you can upload a CSV file of all your converted leads, current customers, subscribers, or claimed coupon codes, depending on the way your referral program works. Our system will check if any of the data matches unqualified, referred users in your campaign, qualify them, and ignore anything else. You can qualify by uploading a CSV file daily, weekly, or even monthly, depending on the volume of converted leads.

β†’ Click Qualify Referred Users.

β†’ Choose which source data to use for qualification: email address, referral code, or coupon code.

β†’ If you choose to qualify by Email Address, select the campaign (this is because some users may be participants in multiple campaigns).

β†’ Prepare your CSV file. You can download the following templates to format the file correctly:

❗️ Please do not include a header row in your CSV file.

β†’ Click Choose Another File to browse files on your computer.

β†’ Select the CSV file and click Open.

You will see the email addresses, referral codes, or coupon codes populate below. 

β†’ Click Next.

β†’ Check that the number of data points you have entered matches what has been recognized on the system. Click Qualify.

The next modal will show an estimate of how many users will be qualified.

4. Qualifying Referrals Using a CRM Integration

With Referral Factory's seamless integration with popular CRMs, you can easily trigger a referral qualification when a specific data attribute, field, or property changes in your CRM. For instance, when a deal is marked as "closed won" in your CRM, Referral Factory can automatically mark the referred user as qualified. 

4.1. Qualifying with HubSpot

Referral Factory has a native integration with HubSpot CRM, which means that you can automatically qualify a referred user when one of the following properties change in HubSpot:

  • Lead Status
  • Lifecycle Stage
  • Deal Stage
  • Custom Property

4.2. Qualifying with Zoho

Referral Factory integrates directly with Zoho CRM, which means that you can automatically qualify a referred user when one of the following fields change in Zoho:

4.3. Qualifying with Salesforce

5. Qualifying Referrals Using Zapier

Zapier lets you connect Referral Factory to thousands of the most popular apps, so you can automate your referral program with your existing business processes β€” no coding required. 

There are three actions available for qualifying referred users on Zapier:

1. Qualify User with Email

2. Qualify User with Code

3. Qualify User with Coupon

For example, if you use Capsule CRM, you can trigger a qualification in Referral Factory when an Opportunity in Capsule is updated to "Converted".

6. Qualifying Referrals Using Inbound Webhooks

An inbound webhook is a real-time method of transferring data between applications, enabling you to send and receive data instantly. We have developed an inbound webhook specifically for qualifying your referred users once they have converted. To do this, you simply send their unique referral code or coupon code to the endpoint provided in your account.

7. Qualifying Referrals Using our API

If you have a custom-built CRM or backend, you can use our API to automatically qualify converted or successful referrals, for example when they complete a desired action such as subscribing or purchasing.

8. Qualifying Referrals Using JavaScript

To track successful referrals using JavaScript, you can add a script to your "Thank You" or "Success" pages, or a modal that referred users see after completing a specific task (such as sign-up, account creation, or purchase). When a referred user lands on the page with the script, it will send their unique code back to our system, notifying us of their conversion.
